Remote Conferencing and Screencasting

IEEE MGA volunteers are seeking to expand the local technical meeting to a worldwide audience and to create a searchable recording meeting repository.

To advance this effort, volunteers at IEEE Sections Congress 2014 approved a recommendation to “build, promote, record, host and broadcast technical events at the local level and make them available to IEEE members”.

We have several tools to choose from to run a web conference or record an offline event. You can view details about these tools below to select one that best matches your need.

We encourage you to record your technical meetings and upload them to IEEE TV channel dedicated to volunteer recording of technical meetings. Prior to creating your video please review best practices compiled by the IEEE TV production team and have speakers sign and date a release form. Following those practices will ensure that your video is of high quality and can be included on IEEE TV.

Tools for online meetings:

Google Hangouts

Google Hangouts brings online conversations to a new level with free group video calls, screen sharing, and social elements such as emoji.

Google Hangouts works well for online meetings with a small number of participants (up to 15 participants using GoogleApps@IEEE account) when no recording needed and audio via Internet is acceptable.

To access Google Hangouts login to your IEEE account at and navigate to Pick Video Call to start a web conference with up to 15 participants.

Webex is a web conferencing tool designed for real time online meetings, webinars, training, demos, and presentations.It allows you to communicate with meeting participants using audio and video, share your computer desktop and presentations with them, make recordings of your web conferences, and more. It works on Windows, Mac, Linux, and mobile platforms.

WebEx works well for online meeting with small to large number of participants (*) when recording option and audio via Internet and/or phone are desired.

To be cost effective and efficient, IEEE MGA offers WebEx service to Geographic Sections in two different ways. Sections that have a need for up to 12 online meetings a year, can request a WebEx session to be setup for them. IEEE MGA staff will process the request and provide WebEx session information within 3 days. Sections that have a need for more than 12 online meetings a year can request a dedicated WebEx account by sending email to

INXPO offers professional live or recorded sessions. It includes producer and technical support and a training session. INXPO service fee is $750 USD (special discounted pricing may be available).

INXPO works well when you need a professionally organized, conducted, and edited meeting with small to large number of participants. It features recording option, audio via Internet or phone. Meetings can be held Monday – Friday (meetings on Saturday and Sunday may be available by special arrangement).
