For IEEE MGA volunteers seeking to run virtual meetings, we recommend WebEx for IEEE Sections and Google Meet for Chapters, Affinity Groups, Student Branches, Student Branch Chapters and Student branch Affinity Groups.

WebEx (Meetings and Events) supports up to 1,000 participants.
WebEx is a web conferencing tool designed for real time online meetings, webinars, training, demos, and presentations. It allows you to communicate with meeting participants using audio and video, share your computer desktop and presentations with them, make recordings of your web conferences, and more. It works on Windows, Mac, Linux, and mobile platforms.

To be cost effective and efficient, IEEE MGA offers WebEx service to Geographic Sections in two different ways. Sections that have a need for 3-5 online meetings a year, can request a WebEx meeting to be setup for them. IEEE MGA staff will process the request and provide WebEx session information within 3 days.  Request a WebEx session at https://vtools.ieee.org/tools-ok/webex/webex-registration/

Sections that have a need for more than 12 online meetings a year can request a dedicated WebEx account by an sending email to mga-im@ieee.org.

Tutorials are available at: https://www.cisco.com/c/dam/en/us/td/docs/collaboration/meeting_center/wbs298/wx_mc_host_ug.pdf

WebEx Events and WebEx Training rooms are also available on request by sending an email to mga-im@ieee.org.

Google Meet

Originally Google Hangouts, Google now offers an advanced option and have renamed it Google Meet.  We have been using Google Meet with great success.  And, it comes with your IEEE.org email account. There is no charge for using this service.  Find out more at: https://meet.google.com. or send us an email at mga-im@ieee.org

Both WebEx and Zoom offer free accounts with limited use, but it may be enough for your meeting or event.

Is your meeting or event hybrid (both in person and virtual)?

We also encourage you to record your technical meetings and upload them to IEEE TV channel dedicated to volunteer recording of technical meetings. Prior to creating your video please review best practices compiled by the IEEE TV production team and have speakers sign and date a release form. Following those practices will ensure that your video is of high quality and can be included on IEEE TV.
