Instructions for Authors

The ICA-SYMP 2021 accepts two types of submissions for review:

Regular Paper

Full papers (4 pages in IEEE A4 conference format) must be submitted for review. The accepted papers will be submitted for inclusion into IEEE Xplore Digital Library and other Abstracting and Indexing (A&I) databases. The normal length for the final manuscript of the regular paper is 4 pages. Paper exceeding 4 pages may be submitted upon payment of overlength page charges (THB 1,000 per page (~ USD 31)). A maximum of 2 extra pages above 4 pages is permitted. The paper must be submitted through EDAS by the due date.

Position Paper

Extended abstracts (2-4 pages in the IEEE A4 conference format) must be submitted for review. This category is provided for authors who want to present a timely review of research, a case study, and so on. This type of paper will NOT be submitted for inclusion into the IEEE Xplore Digital Library. The paper must be submitted through EDAS by the due date.

Instruction for Final Paper Submission

Accepted regular papers will be submitted to IEEE Xplore unless otherwise stated by the author. Authors are invited to submit their accepted paper in PDF format through EasyChair under “Upload new version” by 27 November 2020.

 

Step 1: Before Creating Your PDF File

Please read the reviews and follow the reviewers’ recommendations for revising your final paper. To guarantee good quality proceedings contents, your paper must comply with the ICA SYMP 2021 paper specifications:

1. At least one of the authors listed on the paper contribution MUST be registered for the conference when the final version is uploaded. Please make registration before the final paper submission.

 

2. The conference maintains the right to refrain from reviewing papers that are significantly longer than four pages. For your submission, you can use the standard IEEE conference templates for Microsoft Word or LaTeX formats found at IEEE template

– Manuscript template (Word file, LaTeX file)

3. Regular papers: Papers 4 pages in standard IEEE two-column format only, reporting their original work and results, applications, and implementation in one or more of the listed areas. Accepted regular papers will be published in the proceedings and submitted for inclusion in the IEEE Xplore. Digital Library. Acceptance will be based on quality, relevance, and originality.

Note: You must add the IEEE copyright notice to the bottom of your source document’s first page. The appropriate copyright clearance code notice appears at the bottom of each paper’s first page according to the guidelines outlined in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. The copyright notice should appear about 1 cm below the left column and should be aligned to the left with the same left margin as the column.

  • For papers in which all authors are employed by the US government, the copyright notice is:
    U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:
    978-1-7281-8760-0/21/$31.00 ©2021 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is:
    978-1-7281-8760-0/21/$31.00 ©2021 European Union
  • For all other papers, the copyright notice is:
    978-1-7281-8760-0/21/$31.00 ©2021 IEEE

Tips for adding the IEEE copyright notice to your pdf:

  • You may want first to prepare your pdf and then add the IEEE copyright notice separately using a pdf editing program. You can then re-print the document in pdf format and then validate it using IEEE PDF eXpress.
  • If you are preparing your paper in LaTeX and you are using the IEEEtran document class, this may help:
    • Add the following code before the \maketitle command:
      \IEEEoverridecommandlockouts
      \IEEEpubid{\makebox[\columnwidth]{978-1-7281-8760-0/21/\$31.00~\copyright 2021 IEEE \hfill} \hspace{\columnsep}\makebox[\columnwidth]{ }}
    • Add the following code after the \maketitle command:
      \IEEEpubidadjcol
    • Make sure you use the appropriate IEEE copyright notice string, as explained above.

3. Position papers: Extended abstracts 2-4 pages in the conference format. It is provided for authors who want to present a timely research review, such as a case study. The accepted position paper will be published in the proceedings but will NOT be included in the IEEE Xplore Digital Library

4. A maximum of two additional pages are permitted at an extra charge (THB 1,000 per page (~ USD 31)).

Step 2: Create Your PDF eXpress Account

It is highly recommended and mandatory if you choose to publish your paper in IEEE Xplore (This step is not necessary for position papers),

Log in to the IEEE PDF eXpress site at pdf-express.org (available on 12th November 2020)

First-time users should do the following:
1. Select the New Users – Click Here link.
2. Enter the following: 50206X for the Conference ID, your email address, and a password.
3. Continue to enter information as prompted. An online confirmation will be displayed, and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress or IEEE PDF eXpress Plus need to follow the above steps but should enter the same password used for previous conferences. Verify that your contact information is valid.

Upload your file, convert it, and check the status of conversion. Once the conversion is complete, a report will be generated for the file conversion. Check whether the conversion was successful or some changes are needed.

Step 3: Upload Your Paper to EDAS

Log into the ICA-SYMP 2021 EDAS submission page. (The URL comes with your acceptance email.)
and update the information and authors by following the link, as shown in Figures below.

1. Before uploading your final paper, make sure that paper size has to be A4 and that PDF check is required for all papers.
2. Make sure the title in EDAS matches your camera-ready paper exactly.
3. Compare all author names in EDAS with the author list in your paper. They MUST BE identical and in the same order.
4.  Upload Your final paper to EDAS

  2. For regular paper, you will be asked to fill the e-copyright form at this step.
