Refund Policy

1. General Policy Information

If a registrant is unable to attend an event for any reason they may transfer the registration to someone else (e.g., a colleague) for the same symposium (i.e., same date[s] and location[s]).
If a registrant who is an Author is unable to attend an event for any reason they may transfer the registration to someone else (e.g., a colleague) for the same symposium (i.e., same date[s] and location[s]) provided that the substitute will present the paper, and the substitute is a co-author, familiar with the topic (see clause 2 below).
Registrants who cancel their registration for any reason (including the denial of a travel visa due to delays or other issues) will receive a partial refund according to the following schedule:
- Registrations cancelled more than 30 days before the event (on or before April 13, 2016, Pacific time) will be refunded 80% of the registration fees.
- Registrations cancelled less than 30 days before the event (April 14, 2016 or later, Pacific time) will not be eligible for a refund.
Important note for failed visa applications: Notification must be received by us in writing (email or fax) not later than April 13, 2016 [30 (thirty) days before the symposium starts] for refunds to be eligible. Cancellations received after this registration cut-off time will not be eligible for refund.
No refunds are granted for “no-shows”.

2. Author Registration and Author’s No-Show Refund Policy

In the case of a contributing author/presenter, registration must be accomplished by the ‘early registration’ date. Payments not received will not be included in the Symposium proceedings, nor be submitted for possible publication in the IEEE Xplore database.
In case of an author/co-author no show (i.e., the author does not attend the symposium and present their paper, and if a co-author does not register in the author’s place and presents their paper), then the paper will NOT be submitted to IEEE Xplore. No refund will be granted in this case.

3. Transfers and Substitutions

Attendees are allowed one substitution request per symposium registration. If you would like a colleague to replace you at the Symposium, email your request to Kenny.Poon@BCHYDRO.COM and the substitution will be processed. Arrangements for registration fees transfer will be done by the registrant or his organization.

4. Processing of Refunds

Refunds of registrations paid by credit card will be made by refunding to that credit card. Refunds of registrations paid by cheque will be made by cheque to the person or organization that issued the cheque.
