Officers

All IEEE Dallas Young Professional members are invited to become officers.  Officers are asked to attend 3 board meetings and 3 general meetings every year.  The executive committee is elected from the general officers.  Executive committee members are asked to attend 2 board meetings per month and 6 events per year.

Officer Duties

Chair

  • Guides IEEE Dallas Young Professionals towards the vision by adhering to the mission statement
  • Knows about IEEE Bylaws, IEEE Policies, and the MGA Operations Manual
  • Knows how to accomplish any duty of any officer if necessary
  • Creates the high-level event plan for the year
  • Creates an environment to train and develop future IEEE leaders
  • Chairs all board and executive committee meetings
  • Delegates responsibilities to ensure successful event planning and execution
  • Works with the Vice Chair and Treasurer to obtain yearly corporate sponsorship
  • Works with event leads and the Vice Chair to finalize all event details
  • Works with the Treasurer to build the budget for the next year
  • Works with the Secretary to notify officers of meetings, agenda, and location
  • Works with the Director of Communications to promote all events in a timely manner
  • Works with the Director of Communications and Vice Chair to send monthly ListServ newsletters
  • Works with the Director of Membership and Vice Chair to increase membership
  • Works with the Director of Membership and Vice Chair to connect with other organizations
  • Works with the Director of Outreach and Vice Chair to coordinate with collaborating non-profits
  • Coordinates with the other officers of the IEEE Dallas Section and/or IEEE Region5
  • Acts as the “face” of IEEE Dallas Young Professionals to speakers, sponsors, and the section by presenting and protecting the image of IEEE Dallas Young Professionals and by being ultimately responsible for all IEEE Dallas Young Professional events

Vice-Chair

  • Supports the Chair in leading IEEE Dallas YP towards the vision and mission statement
  • Is familiar with the policies including IEEE Bylaws, IEEE Policies, and MGA Operations Manual
  • Knows how to accomplish any duty of any officer if necessary
  • Acts as temporary replacement for vacated officer positions
  • Chairs meetings in absence of Chair
  • Helps keep the other officers accountable to the Chair
  • Leads sub-committees to make changes to standard operating procedures (i.e. meeting protocols and event planning methodologies)
  • Works with the Chair and Treasurer to obtain yearly corporate sponsorship
  • Works with the event venue coordinators and caterers to meet event needs
  • Works with the event lead to finalize all event details
  • Works with the Director of Communications and Chair to send monthly ListServ newsletters
  • Works with the Director of Membership and Vice Chair to increase membership
  • Works with the Director of Membership and Vice Chair to connect with other organizations
  • Works with the Director of Outreach and Chair to coordinate with collaborating non-profits
  • Represents the “spirit” of IEEE Dallas Young Professionals by creating a friendly atmosphere at meetings and engaging with attendees

Secretary

  • Helps the Chair and Vice Chair to stay organized
  • Schedules executive committee and general board meetings
  • Notifies officers of the meeting agenda, time, and location
  • Keeps executive committee meeting minutes and ensures that meetings run on time
  • Submits officer and meeting reports (e.g. L31 meeting reporting and vTools officer reporting)
  • Creates vTools event for all upcoming events
  • Maintains Google Calendar
  • Posts upcoming events to calendar (and invites Dallas section)
  • Takes attendance at general meetings
  • Acts as the “record keeper” for IEEE Dallas Young Professionals by maintaining the official documents (e.g. Google Drive, Dropbox, etc.)

Treasurer

  • Makes sure that money is NOT an issue
  • Records and reconciles all financial activity
  • Communicates with the Section Treasurer to request reimbursements, double-check the current balance, and obtain documentation for payments (e.g. tax ID and credit card info)
  • Helps officers submit reimbursement forms to the Section Treasurer
  • Prepares the budget for the next year
  • Keeps the corporate sponsorship package up-to-date
  • Works with the Chair and Vice Chair to obtain yearly corporate sponsorships
  • Acts as the “bookkeeper” by maintain financial records and facilitating the flow of money

Director of Communications

  • Ensures that the executive committee communicates promptly and clearly with membership
  • Maintains the website
  • Maintains the twitter feed, linkedin group, and facebook group
  • Posts upcoming event information on social media
  • Posts upcoming event information on the website
  • Sends upcoming event information to membership through eNotice and ListServ emails
  • Works with the Chair and Vice Chair to send the monthly ListServ newsletters
  • Acts as the “herald” by promoting IEEE Dallas Young Professional events through all means of electronic media

Director of Membership

  • Helps IEEE Dallas Young Professionals to become an active and vibrant community
  • Tracks membership involvement via social media and event attendance
  • Leads member retention efforts
  • Helps bring in new members by identifying new markets
  • Maintains Listserv email server
  • Documents general meetings by taking pictures/video, connecting with attendees, and posting brief meeting synopsis on social media and the website
  • Works with Chair and Director of Communications in reaching out to universities, societies, and other professionals groups
  • Works with University Liaisons to plan joint events and increase student member involvement
  • Works with the section to promote IEEE Dallas Young Professionals at general IEEE events
  • Acts as the “relationship-builder” by connecting with active members, inactive members, potential members, and other organizations

Director of Outreach

  • Helps IEEE Dallas Young Professionals to give back to their local community
  • Plans and leads 3 outreach events per year
  • Works with community to find needs that IEEE Dallas Young Professionals can meet
  • Coordinates with collaborating non-profits
  • Communicates with volunteers prior to outreach events
  • Acts as the “lead-volunteer” by connecting IEEE Dallas Young Professionals membership with the local community

General Officer

  • Helps the executive committee perform their duties
  • Acts as a “reliable volunteer” for event planning, event preparation, and event execution
